After a loss, teams sometimes wait to notify the insurer until they know the final amount. That can take days or weeks. Others send a hurried message with no location, policy reference or contact person.
A useful first notice is early, factual and easy for the recipient to route. It can be updated as the situation develops.
Include the facts available now
State who is reporting, what happened, when and where it happened, what appears damaged, what immediate action was taken and who can coordinate next steps. Attach a few representative photographs if safe.
- Policy number or insured entity name
- Date, time and exact location
- Brief factual description without guessing at cause
- Emergency services or authorities involved
- Name and phone number of the site contact
Protect people and property first
Take reasonable steps to prevent further harm, but preserve evidence and damaged property where practical. Ask before beginning permanent repairs or disposing of items, except where safety requires immediate action.
Start a simple expense and decision log from the first day.
