A yearly travel policy is easy to treat as background administration. Then an employee adds a personal weekend, carries specialist equipment or travels to perform hands-on work at a customer site.
Those details can change what the company expects from the policy and assistance provider.
Ask about the real itinerary
Confirm every country, total trip length, planned activities, personal extensions and any known medical needs. Check entry rules and local assistance information separately from insurance.
- Are manual, offshore or hazardous activities involved?
- Who owns and insures laptops or specialist equipment?
- How does the traveller request emergency medical help?
- What documents are needed for delay, baggage or cancellation claims?
- Does the employee know the company escalation contact?
Make assistance details usable
A helpline buried in a policy PDF is not enough. Put the number, policy reference and HR contact in the travel pack and on the employee’s phone. Explain when direct payment may be possible and when the traveller may need to pay first.
